During your free 1-hour wedding consultation with our expert team of wedding planners will cover a range of topics. So to assist you in preparing for your consultation, we offer this handy Wedding Planning FAQ.
If you can give us a rough idea of how many people you are looking to have at your wedding, this assists greatly with the planning. It doesn’t really matter if numbers go up or down slightly between the meeting and the wedding (that is to be expected)! It just guides us when discussing room plans, timeline information and accommodation requirements.
This is the element of your day where everything is made OFFICIAL! We chat through things with you such as where on the property you’d like the ceremony to be held: Our Escarpment, Arbour Area, Restaurant Gardens, Flaxton Grove or Barrel Room (this is usually reserved for wet weather but we have had couples get married in here in dry weather too!) We also discuss ceremony setup – would you like rose petals down the aisle? A red carpet? How will your music be played – iPod or live musician? And we ensure we know how all the key people are on the day: Groomsmen, Bridesmaids, flower girls, page boys and immediate family!
Food, glorious food – Arguably one of THE most important elements of the day. The food! We chat through menu selections with you – no wedding menu is the same. There are so many options but two of the most popular would be: high tea, cocktail entrée, seated main course and dessert. The other is canapes, seated entrée, seated main course and dessert. We can do lots of other things too such as banquet-style, or buffet-style…Alternate drop or a la carte… the choice is yours!
Up there with food for importance, we need to talk about drinks… whether they be alcoholic or non-alcoholic, on a bar tab or on a beverage package – again, lots of options! Generally, we run through all drink pricing with you and our wedding assistants provide guidance on which way may be better for you to go – tab or package. In the past, we’ve seen some amazing things such as special ‘Mr & Mrs cocktails’ to be served to guests after the ceremony or even a Pimms drink station to feature on the terrace in the afternoon. Endless possibilities.
This is quite often the part of the meeting where we (wedding assistants) notice the groom nodding off. This is usually the bride’s pride and joy – deciding on styling, theme, colour, etc. (All the fun stuff!) We talk through absolutely everything from place cards to bonbonnieres, sashes on chairs to bridal table setup, centrepieces to dancefloor placement in the room. Some couples are very happy to go with a more basic setup, using mainly Flaxton Gardens pieces and keeping cost to a minimum, because let’s face it, The Winery really speaks for itself in terms of style! Others bring along lots of their own additions such as festoon lighting/fairy lights, DIY photo booths and lolly bar items and that is always wonderful too.
Not just the timeline, but a logistical plan for your wedding weekend! i.e. When are most family coming up? For many who choose to stay in our large manor-style home (Flaxton Grove) often a pre-wedding celebration at the house is in order. There is a large outdoor entertaining area and pool at the property which makes it a very popular choice. We also talk to our couples about the possibility of hosting a post-wedding brunch at Flaxton Gardens the day after the wedding.
Like us, these are the other folks who really, make the day happen! People like your celebrant or pastor, florist, cake maker, photographer/videographer, entertainment, hair artist, makeup artist, transport provider, and any others (such as a photo booth) – are all important to discuss. As a venue, we can certainly assist with guiding you in selecting your suppliers. However, you are welcome to bring who you wish and our recommendations are there as a guide!
Nothing is 100% set-in-stone at the first planning meeting, especially the timeline! This can often change quite a few times during the planning process based on discussions with other suppliers, MC, family and friends. Our job is to ensure everyone is on the same page with the timeline on the day and everything runs as per the timeline (within reason!) This means a discussion of ceremony, post-ceremony, photography, speeches, food serving times, cutting of cake, first dance and departure (in a nutshell).
We are lucky enough to offer three beautiful accommodation options at Flaxton Gardens. Firstly, The Apartment sleeps 8 and is located above the Restaurant on-site. Perfect for getting ready, this is often a one night stay. It is included in the package for weekend weddings and optional for weekday weddings. Next, Flaxton Grove sleeps 16 and is located just down the road from the venue (within easy walking distance). This is often taken as ‘the hub’ for the period of the wedding – many couples taking this for three nights. Lastly, Flaxton Gable sleeps 10 and is just across the road from the venue! This is fantastic either for a getting-ready location or for close family/friends to stay. Many take this for a convenient two nights, the night before and night of the wedding.
Making sure everybody is on-track and on the same page during the entire planning process up until the day. There are usually 3-4 payments made in the lead up to the day: initial booking payment, middle payment, accommodation part-payment (if applicable) and final payment. Nice and easy!
